We will make every effort to respond within three working days, but may add up to a seven-working-day extension if extenuating circumstances apply.

When records cannot be easily or cost effectively provided electronically to a requestor, we may schedule a time to inspect the records in person. Records will be open for inspection from 9 a.m. to 5 p.m. Monday through Friday.

Format of Records Produced

The Colorado Open Records Act does not guarantee access to the documents in a specific format.

Fees for Document Retrieval and Review and Production of Copies

When a substantial request is made requiring the production of more than 25 pages of documents, or the use of more than one hour of staff time to locate or produce records. we may charge the requestor for all copying expenses and other actual costs associated with staff time beginning with the second hour and for all subsequent hours.

When the number of pages produced pursuant to the Colorado Open Records Act exceeds 25 pages, we may charge $0.25 per page for all documents copied. When producing records consumes more than one hour of staff time, we may charge $20 an hour for all staff time associated with locating and producing records for a requestor. We also may charge an hourly rate greater than $20 an hour, up to a maximum of $30 per hour, when specialized document production or skills are required to locate, compile or produce records pursuant to a records request, including the use of third-party contractors. Any costs charged to a requestor shall not exceed the actual cost of producing the records.

For requests where we anticipate more than 25 pages will be produced and/or more than one hour of staff time will be consumed, we will provide a requestor with advance notice and an estimate of costs. We may request that a partial payment be paid upfront before the production of records begins unless alternative arrangements have been made through the Office of Government, Policy &, Public Relations. If a document is scanned and provided electronically, no fee will be assessed unless producing the records consumes more than one hour of staff time and/or if a storage device is provided containing the files.
